NMY Barracudas Parents Committee Meeting November 7, 2007
Executive Board was present: President: Dave Cotharin

The parents meeting went over some new issues and covered some issues that always come up. It is always helpful to have parents at these meetings to meet new faces and get input from the parents. Please try to attend these brief but important sessions. Remember, you do get “Family Requirement” credit hour for attending these meetings.
Dave started the meeting by announcing that the Executive Board had voted to help Coach Lin out with her medical expenses by given her a check for $500.00.
Lin stated that she has know for a very long time how blessed she was to work with such a wonderful group of people and how much she appreciated the generosity of the parents.
#1Coach Lin read a thank you note from David Nielsen who received one of the Y’s Marshall Scholarship’s. He was very appreciative of the honor and the monetary award, but felt that because he was going to attend the Coast Guard Academy that he would like to donate the scholarship back to the Y. It was decided that we should give the money out to another Y individual who deserved the award and needed the money.
It was voted to give 3, $1,000.00 awards to barracuda seniors at the banquet this season. 2 from the parents funds and 1 from the Kearney fund.
#2 Swimmers should receive the new pink silicone swim caps with the NMYB logo. These caps are very nice and expensive….each swimmer will receive one without cost. The next one they will have to pay $9.00 for. Maybe swimmers can put their names on the inside of their caps.
#3 Concession Stand – The first meet went very well. Karen Brown made a quick appearance and the new Chair Jennifer Chadukiewicz was really pleased with how smoothly things ran. She was grateful to all the parents that helped out. Please check her list before each meet. She will be asking families to donate needed items. She will get a master mailing list from Coach Lin. Again, a huge thanks to all the people that made the concession stand run so well at the Autumn Classic. The concession stand is a great way for the Y to make money so that we can give the kids their end of the year gifts and help defray the cost of the banquet.
#4 Family Requirements – All parents are asked to donate 20 hours/ $100.00. The hours can be done by timing, fun nights, the concession stand, setting up or cleaning up after a meet. There are always people needed to learn the console and the computer. If you don’t know who to ask about these jobs just speak to any one of the officers.
Hours should be recorded by filling out volunteer forms, which are located in the file folder box or email Cynthia Weeks at cweeksdesign@earthlink.net

Directions for the away meets can be found in the “BOX” that has all the kids’ paper work on deck. If forms or other sheets have run out, Coach Lin said that she would put a master copy at the front desk.
#6 Fun Nights – The first fun night has happened and was a great success. Thanks to all that lent a hand. The next fun nights are 12/14/07, Rein Deer Races. Joy Gee has agreed to coordinator and is looking for parents to help out. Again, these hours will count towards your family commitment. On 2/15/08 “Float Night” the kids all bring a pool float.
#7 Banquet – Diana Muscatello and Lark Milardo have agreed to Co Chair

#8 YMCA Officials Class: Level 1 Swim Officials Class was held on 11/11/07 at the Y. If you attended and paid a fee please see Coach Lin or Dave Cotharin. The Y will pay for your fee and would encourage any parent to try to become an official. On December 2, 2007, there will be a refresher course.
#9 Clothing – We are looking at purchasing warm-up suits for the kids. The jacket and pants can be purchased with the team logo. Details will be sent out through email
#10 Cluster Championships: They will be at Middletown High School on 2/22 – 2/24 2008. We are lucky to be hosting as it is a great way to bring more revenue to our budget. This event is a lot of work, but it’s great to have this meet so close to home. Please help out by signing up and pitching in. Thanks in advance.
#11 New England Championships: March 14, 15, 16 2008 at the Blodgett Pool at Harvard University in Cambridge, Massachusetts. Information about this event can be found on line at melrosey.org. melroseymca.org
#12 Parents Meetings: The following dates have been set for our next meetings. Try to put them on your calendars and help us run a great year for the kids. The next meetings will be 12/13/07, 1/16/08, 2/7/08, all in the Hazen Room at 6:30. Hope to see you there. Thanks again for all your help.

There have been many requests to try to swim the meets in a divided fashion. We are trying to accommodate this request. The split meets are an attempt to do this. When we get closer to the scheduled split meet the times that certain age groups are swimming will be posted in the folders and in a group emailing. Please get your meet cards into Coach Lin or Coach Laura.
3.Banquet: April 11th 2008 at the Elks in Middletown
- Dylan will do video display. We will get a mailing out so that pictures can be sent to him to create a great picture display of all the swimmers throughout the year.
- Food Lark and Diana are working on the menu for the evening
- DJ to be handled by Lin. In prior years they gave us a reduced rate. We hope to be able to negotiate a reasonable price.
4. Fun Nights February 15th Float night. Have the kids bring floats. Joy Gess is handling the food sign up. Last fun night we used a different pizza restaurant. Did people enjoy Illiano’s pizza? Should we use them again? Look for the sign up sheets to help out and don’t forget to count the time towards your hours. Thank you.

6. CHAMPIONSHIPS February 22, 23, 24 at Middletown High School
This is a big money making event for our Y. We need everyone to volunteer time. We really need individuals to step forward and offer to “organize” the concession stand. The job would be easier if one person would “organize” each session. We really need these positions filled.
- Clothing organized by Cynthia Weeks and Jill Hernandez – long sleeve shirt with Make Waves logo, date and Clusters title on shirt to be sold at meet
- Staff shirts need to be obvious – bright color “neon” ? SECURITY shirt, TIMER shirts and RUNNERS all shirts need to be easily spotted.
- Changes this year no bullpen. We will have lane helpers to organize the younger kids. Lane helpers will co-ordinate with coaches and swimmers to make sure kids are in the right lane. We will have this for only 8 & unders and the 9-10 swimmers.
- NMYB we don’t supply timers. There are lots of jobs that we need to cover. Please see sign up sheets and help out at the session that your child is swimming in.
- Video/Projector – This will be set up in the gym next to the pool. It was a great way to follow the meet without fighting for a seat in the stands.
- Fire Marshall. This year the hallways need to be clear. We will ask if we can sell shirts in the same location, but it may have to be in the small gym.
- Advertisements You can send a note to your child by purchasing an add to be placed in the Championship Program. This is a great way to help defray the cost of this meet. Information on this will be in the “box” on pool deck and there will be emails as well. Jessica Light is handling this project. If you want to repeat your add from last year she can easily do that for you just let her know. Thanks Jessica!
- CONCESSION This is our weak link right now. Karen Brown is willing to help out and advise, but she can’t and co-ordinate the entire week-end. Please if you could give the Y your time by offering to organize the concession stand for one session it would be a great help.

- Ford Lange will check with Pepsi so see if a deal can be make with their product
- Jill reviewed the logo for this year it will be on the following items, shirts to be sold, heat winner ribbons, patches, mega phone and cover of the program. Volunteers will be given shirts color TBD as well as badges
- NMYB we don’t supply timers. There are lots of jobs that we need to cover. Please see sign up sheets on spectator walls and help out at the session that your child is swimming in.
- Advertisements You can send a note to your child by purchasing an add to be placed in the Championship Program. Due February
- CONCESSION Each Family will be asked to donate 2 cases of water or 2 case of power drink if we don’t contract with a vendor

- Concessions – Co-chair’s Tina Lange and Susan Sousa , Tina is still waiting on a few venders to respond. The parents asked that an email go out for items that are needed ASAP
- Workers – Carol has the sign up sheets, she will look at where will still need help and phone calls/emails will be made to those families that are under their required hours.
- Officials Carol Buchannan, Carol will contact the officials in our league for working assignments
- Equipment Dave Cotharin, will contact Jeff at MHS so that the committee chairs can do a walk through before Friday 2/22/08.
- Clothing, co-chairs Jill Hernendez and Cynthia Weeks were not present at this meeting but it was reported by Dave that everything has been order.

7. Coach Lin asked about the should clinic that was held by PT John Rossi, there was a great turn out and the parents that attended this meet state “it was great”. There was a motion made by Carol Buchanan and a second by Terri Civitello to give John a $50.00 gift certificate. This motion passed by all present.
